How it works

From a leaking garage to a defensible record

The same five steps run every time, whether the job is $400 or $400,000. What changes is who has to approve it.

01

A work request is raised

A manager, a resident ticket, or a scheduled inspection creates a work request against a corporation. Trade category, priority and scope are captured up front, so bids are comparable later. Emergency work can be fast-tracked with the approval recorded after the fact.

  • Raised from a ticket, an inspection or directly by a manager
  • 20 trade categories from HVAC to elevators to legal services
  • Emergency, high, medium and low priorities with separate routing
02

Contractors bid

Invite vendors from your directory or run a sealed bid where contractors cannot see each other. Bids carry price, scope, timing and attachments, and compliance documents are checked at this stage rather than after the award.

  • Open or sealed (private) bidding
  • Insurance, WSIB and licence expiry flagged before award
  • Bid comparison against the original scope
03

The board votes when it must

Every corporation sets its own approval threshold. Below it, the manager proceeds. Above it, the award routes to the board automatically and each director's vote is recorded with a timestamp.

  • Per-corporation spending thresholds
  • Votes recorded by named director with date and time
  • Operating versus reserve allocation captured on the record
04

Award and invoices

The winning bid becomes the award. Milestone invoices are logged against it, so what was approved and what was billed stay connected.

  • Award ties to the winning bid and the approving vote
  • Milestone invoices against the awarded amount
  • Variances visible before they become disputes
05

The audit record

A report the board, the auditor and the next management company can all read: what was requested, who bid, what it cost, who approved it and when.

  • Awarded vendor, amount, approving directors and dates
  • Append-only audit trail of every approval action
  • Excel export and a branded board package

The work is the easy part. Proving who approved it is what takes the time.

Behind the scenes

What makes the record hold up

Thresholds are per corporation

A 40-unit building and a 400-unit building do not share an idea of a big number. Each sets its own, applied everywhere automatically.

Roles decide who can act

Ten roles with capabilities scoped to a unit, a corporation or a portfolio. Managers operate; boards approve.

Nothing is edited away

Approvals, role changes, exports and mail configuration all land in an append-only log. Corrections are recorded as corrections.

Walk one of your own work orders through it

Bring a real job from last quarter. We will run it end to end and you will see exactly what the board would have seen.
